Description: Office Manager Coldwater Foundation Grand Marais, MN Purpose of Position The Office Manager serves as the hub of communication for Coldwater, including program registrar. This position ensures smooth and timely flow of information between staff, students, groups and families. This position also provides secretarial and logistical support for fundraising and ministry events. This is a vital behind-the-scenes role that helps the whole ministry operate with clarity, warmth, and excellence. About Coldwater Foundation Coldwater is a Christian faith and leadership development ministry operating as a 501(c)(3) non-profit in Minnesota. We are a small, close-knit team who value unity, relationship, and intentionality. Each summer, 15–20 seasonal staff join us to lead wilderness courses that deepen commitment to Christ and build capacity for mature leadership. Our ministry follows a yearly rhythm of preparation, hands-on program season, follow-up, reflection, and development. Mink Lake Wilderness Camp Coldwater is based at Mink Lake Wilderness Camp — a beautiful off-grid basecamp with a 75-year history of outdoor leadership. Located in the Superior National Forest, 15 miles from both the Boundary Waters Canoe Area Wilderness and Grand Marais, MN, Mink Lake fosters intentional community and service. Coldwater also maintains a simple office in Grand Marais for year-round and seasonal staff. Candidate Qualifications • Bachelor’s degree preferred (or equivalent experience) • At least 2 years professional experience with Microsoft Word, Excel, and Calendar • Experience with or ability to learn software systems (CampBrain or similar) • Strong organizational and planning skills; detail-oriented and dependable • Relational, teachable, and eager to support Coldwater’s mission • Self-motivated and able to work efficiently independently and with a team • Seeking someone committed to serving in this role long-term (ideally 3+ years) • Eager to support Christian values and promote Christ-centered mission Work Hours Part-time hourly: ranging between 12–20 hours per week seasonally. Job Responsibilities Communication & Student Support • Serve as the primary point of contact for emails, phone calls, and messages, providing clear and welcoming communication. • Operate student registration software (CampBrain), assisting families and staff as needed. • Build and maintain a communication calendar: registration confirmations, reminders, packing lists, FAQs, and post-program follow-ups. • Track and organize student records (medical forms, payments, waitlists, shuttle schedules). • Manage logistics for student travel, including airport shuttles. • Oversee student arrival and departure days (Welcome Days and Course Celebrations), greeting families and coordinating smooth flow of information. Administrative & Event Support • Provide organizational and secretarial support for fundraising efforts led by the Executive Director and Director of Operations (annual banquet, donor communication, etc.). • Assist with planning and logistics for events, work days, and other ministry gatherings. • Maintain accurate program and office records, including post-course documentation (trip folders, incident reports, permits). • Support team communication: weekly staff meetings, check-ins, and shared calendars. Compensation $15,000–$20,000 annually, depending on experience.
