Position Overview: The Onsite Live-in Manager-Caretaker is responsible for overseeing the day-to-day operations of the property at Chateau LeVeaux, ensuring the safety, security, and proper maintenance of the building and its surroundings. This role requires effective management of staff, coordination and execution of building maintenance and mechanical systems, and oversight of the hotel room rentals. The Manager-Caretaker serves as the first point of contact for visitors, both in person and via phone, and plays a key role in providing exceptional customer service, administrative support, and assisting with the smooth operation of various departments.
Key Responsibilities:
Property & Building Maintenance:
- Oversee the daily operations and general maintenance of the property, ensuring the highest standards of cleanliness and functionality.
- Conduct twice-daily walk-arounds of the interior and exterior of the building and grounds, identifying and correcting any issues as necessary.
- Supervise, coordinate and execute daily cleaning and maintenance tasks for the building and grounds.
- Manage, coordinate, and supervise maintenance staff and contractors.
- Monitor and manage all building mechanical systems, ensuring they are operating efficiently and are well-maintained.
Security:
- Provide 24/7 on-call security for the property and units.
- Investigate any security matters promptly upon notification and obtain assistance, as needed.
Hotel Room Rentals:
- Oversee the rental program, including scheduling, coordination, and customer service related to guest bookings via Airbnb or VRBO.
Customer Service & Administrative Support:
- Serve as the primary point of contact for all visitors and guests, providing excellent customer service in person, over the phone, and via email and text messaging.
- Address and resolve any guest inquiries, complaints, or maintenance requests promptly and professionally.
Contractor & Vendor Coordination:
- Assist the Board, Building and Grounds Committee, and other stakeholders with coordination of major improvement or replacement projects.
- Acquire estimates and bids for repairs and maintenance work.
- Supervise contractors during project execution and approve completed projects, as needed or requested.
Communication, Record Keeping, and Reporting:
- Maintain clear and timely communication with staff, guests, contractors, and the Board.
- Keep accurate records of building maintenance, repairs, vendor contracts, and any relevant documentation.
- Generate regular reports regarding building operations, maintenance schedules, security incidents, and rental program updates.
- Ensure that all communication is documented and readily accessible for future reference.
Compliance & Safety:
- Ensure compliance with safety regulations, building codes, and property policies.
- Address safety issues as they arise and take immediate action to resolve any hazards or potential risks.
Qualifications:
- Proven experience in property management, caretaking, or a similar role.
- Ability to live onsite in the building and be available for on-call emergencies.
- Strong customer service and communication skills.
- Ability to manage multiple tasks and staff effectively.
- Experience managing rental property via Airbnb or VRBO or ability to learn.
- Ability to handle emergency situations effectively and calmly.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Strong organizational skills with a focus on record keeping and reporting.
- Basic knowledge of building systems (HVAC, plumbing, electrical) and maintenance procedures.
